  • Conference Exhibitor Policies

    By applying, you are agreeing on behalf of your company to the following vendor specific policy information, as well as the additional Region 9 Conference Fees and Policies on cancellation, substitutions, code of conduct etc., found on the event website.

    • -Representatives with an active sponsorship package will receive exhibitor access to attendees on the Whova platform during the identified event listed above.
    • -COVID-19: All representatives must have received COVID vaccinations (two-dose or one-dose vaccines) to attend a R9HSA event. We encourage the booster vaccinations. Proof of vaccination will be required prior to arriving on-site. All representatives listed on the application will receive a link to upload the necessary documentation. For any additional questions, please contact us at headstartr9@region9hsa.org.
    • -Changes: Cancellations received in writing 30 days prior to the event set-up date will be assessed a $50 cancellation fee. After that date no refunds will be given.
    • -Sponsors will not have access to participants' contact information such as phone numbers, e-mail address, etc. For more information, please contact our Business Development Consultant at partnerships@region9hsa.org.
    • -Payment: Full payment must be received prior to the start of the show. The Association will send the exhibitor an invoice for payment by check or PayPal. If you wish to pay by PayPal a 3% charge will added to your invoice. Check payments are to be addressed to Region 9 Head Start Association. Mail payment to 2131 Capitol Avenue, Suite 307, Sacramento CA 95816.
